Position Purpose:
The Content Specialist will be a pivotal member of the Global Content & Insights team, delivering exceptional content and event experiences designed to amplify and advance HIMSS’ impact and mission. By managing speaker relationships and collaborating across HIMSS, they will help drive greater attendee and sponsorship revenue across various in-person and virtual events. This role plays an active part in in-person and digital content production, working closely with content programming, marketing, sales, and others departments across the U.S. and global teams.

Position Purpose:

By managing speaker relationships and collaborating across HIMSS, they will help drive greater attendee and sponsorship revenue across various in-person and virtual events. This role plays an active part in in-person and digital content production, working closely with content programming, marketing, sales, and others departments across the U.S. and global teams.
Essential Functions:
Speaker & Moderator Management
- Serve as the primary point of contact for confirmed speakers and moderators, from sourcing and prep calls to presentation collection, onsite support, and post-event communication.
- Build and manage a consistent speaker confirmation, preparation, and feedback process for HIMSS events. (Note a possible limited role with HIMSS Global Conference)
- Arrange meetings with speakers for session and panel preparation.
- Provide administrative support to event and content program committees and advisory groups.
- Maintain agreements with every speaker and coordinate with Finance to process travel costs or honoraria for speakers and contractors in a timely manner.
- Assist Senior Content Leads on content programming, including speaker and session management.
- Support calls for speakers and case studies, coordinating with Professional Development
- Manage agenda and speaker details on HIMSS websites, keeping event websites and apps up to date with the latest agenda and speaker information.
- Use the HIMSS speaker management platform to onboard speakers, update the agenda, and continue building the talent database.
- Run queries for the HIMSS International content team as needed.
- Manage documents related to programs, ensuring cross-document alignment and accuracy.
- Coordinate scheduling, manage event materials, and handle communications and reminders.
- Update internal teams regularly with the latest agenda information.
- Structure and maintain data in a logical, scalable way, including consistent formats, audit trails, and version control; ensure data integrity through regular audits for duplicates or missing information.
- Manage the speakers bureau, working with global content leads, professional development (call for proposals system and team), and membership.
- Assist with content and speaker access for HIMSS chapters, working with the chapter membership team.
- Provide on-site support at select HIMSS events, with travel required approximately three times per year.
- All duties as assigned to achieve HIMSS goals and objectives.
- Perform other related duties as required or assigned that contribute to the effectiveness of the department and to accomplish strategic goals and objectives.
- Candidates must reside in one of the following eligible states:
AL, CA, CO, DC, DE, FL, GA, IL, IN, KS, KY, MA, MD, ME, MI, MO, NC, NH, NJ, NV, NY, OH, PA, SC, TN, TX, UT, VA, VT, WA, WI. - Bachelor’s Degree in a business, communications, or project management-related field
- Three (3) to five (5) years' experience in event content programming or similar role communicating with external subject matter experts, preferably in the healthcare or technology space
- Exceptional project management skills; capability to manage multiple competing priorities effectively
- Excellent verbal/written communication with the ability to effectively interact with individuals at all levels of responsibility and authority
- Understanding of streaming technologies and event registration platforms/tools; comprehensive knowledge of Microsoft Outlook, PowerPoint, Teams, SharePoint, and Excel required. Experience or working knowledge of Events Air, Monday.Com, and Salesforce strongly preferred
- Demonstrated experience using various systems, including registration systems, web platforms, and content management software
