Description

As the Executive Assistant you will provide administrative support to a Director, running the calendar with precision, understanding priorities, and ensuring the utmost efficient use of time. You will act as a strategic partner with the leader to continually improve productivity. You will arrange travel and coordinate meetings, all-hands, and offsite events. You will attend meetings collecting key decisions, supervising action items, and working with assigned leaders to ensure appropriate follow-up. You will work with team leaders and finance to obtain PO's for various projects. You’ll also work closely with our global administrative support teams sharing standard methodologies and recommending changes to ongoing processes in order to improve organizational efficiency.

Minimum Qualifications

  • Executive Assistant experience supporting Director or Sr. Director-level
  • Ability to work autonomously on assignments and handle sensitive and confidential information with integrity, discretion, and utmost secrecy
  • Experience with sophisticated and heavy calendaring for multiple calendars
  • Experience communicating and scheduling across time zones with international partners
  • Experience in scheduling travel both domestic and international
  • Excellent written and verbal communication skills and a strong sense of integrity
  • Possess a “can-do” demeanor for all situations, no task either big or too small to handle
  • Ability to navigate challenges appropriately and know when to delegate issues upward
  • Order, supervise, and distribute Apple Owned Units AOU equipment requests
  • Onboard new hires with AOU equipment, access requests and desk allocation.
  • Co-manage building with other admins, working closely with SAMs, Building Manager, and Facilities
  • Support Facilities requests for the team including, but not limited to: office moves, maintaining standards and supplies in multiple offices, conference room management and access requests, maintenance of printers, ordering equipment for teams’ needs, updating floor plans, ordering, and up keeping complimentary amenities
  • Processing credit card purchases (P-Card & M-Card) for the teams, keeping digital receipts, and sending proof of purchase for reconciliation
  • Experience in processing expense reports, POs, and recording and tracking equipment for inventory audits

  • Ability to apply tact, diplomatic discretion and good judgment at all times, especially when exposed to sensitive or confidential material.
  • Ability to work in both a team environment and independently.
  • Anticipating needs and reacting with the best interest of the team and Apple.
  • Organised with meticulous attention to detail in handling multiple tasks in a fast-paced and time-sensitive environment.
  • Great at relationship-building.
  • Having a “can-do” demeanour - no task is too big or too small!
  • Remaining calm and keeping a sense of humour during constantly changing circumstances.
  • Proficiency with a Mac, as well as with Keynote, Numbers, Pages and other productivity tools.
